North Roots

Your team keeps Claude or ChatGPT. We connect your systems behind it.

Your staff ask it about jobs, invoices and customers and get answers from your own records, each showing where it came from. It can't change anything without an approval from someone you name.

Roots is new, and the first pilot clients are shaping it with us.

You ask

Which customers owe us money and have a job booked this week?

Roots answers, from your records

Thompson Ltd owes £4,280, 41 days overdue, and has a job booked for Thursday at 9am.

Sources: Xero, invoice 1043. Job system, job 2211.

Illustrative example, not a real customer. Every answer shows which system it came from.

Your AI can write an email, but it can't see your business.

Someone on your team already uses Claude or ChatGPT, probably for emails. Ask it whether a customer has paid and it has no idea, because the answer is in your accounts package, your job system or a spreadsheet it has never seen.

Ask one question. Get one answer, drawn from several systems.

  1. Your staff

Sign in with their own Microsoft or Google account.

  2. Their AI

    The AI they use now.

  3. North Roots

Your rules, your approvers, a log of every question.

  4. Your systems

    Accounts, jobs, CRM, documents, database.

We write down how your business works, and the AI follows it.

Your credit terms, your margin floor, who signs off what, how you chase late payers. We write it down with you and keep it current.

Example rule

How we chase overdue invoices

  1. 1.Polite reminder at 30 days.
  2. 2.Phone call at 45 days.
  3. 3.Director sign-off before work stops.

Drafted by the AI, following rule 1

Hi Mark, a polite reminder that invoice 1043 for £4,280 is now 41 days overdue. Could you let us know when payment will be made?

A draft until someone sends it. Mark and his invoice are invented.

Nothing in your systems changes until a named person approves it.

Who can do what

Read-only to start
A change is a draft until someone you have named approves it.
Your own sign-in
Staff use the Microsoft or Google login they already have. We never hold your passwords.
Only what their role allows
Each person sees the records their role permits, nothing else.
Logged
Every question and approval is recorded, and the log is yours to open.

Where your data lives

Hosted in the UK
Our service and your stored data sit in AWS London.
Kept separate
Each business is walled off inside the database itself.
Your AI provider
The chat runs under your own Claude or ChatGPT business plan, not ours.
Yours to take
Leave, and you take your rules and logs with you. We delete what we hold.

A data processing agreement comes with every contract, under UK GDPR. Tom Johnson, our CTO, owns security and answers questions on it himself.

When it gets something wrong, you can see why, and we fix the cause.

Every answer shows the system and record it came from. If one is wrong, flag it: we fix the rule or connection behind it and run your questions again. You get one named contact at North Roots and a monthly report on what your team used.

Built-in connectors are a good start. They don't know your business.

Before we start, we agree in writing what go looks like: which questions it must answer, and how accurately.

  1. Step 1

    Connect and set up

You connect two of your systems and we write down your rules.

  2. Step 2

    Your team asks real questions

Your team asks the questions they ask every week.

  3. Step 3

    Go, adjust or stop

Written findings, and a fixed price before you pay anything more.

What it costs

The pilot is a fixed fee that comes off set-up if you carry on. After that, one price for the whole firm, however many logins. Both figures come on the first call.

Send us three questions your team asks every week.

We'll answer them from your own data, or tell you why not.
